Marketing Using Newsletters (Timing)

How often you send a newsletter can be a tricky question to answer. It depends on your content and audience. If it is a daily digest, then by all means write once a day. Once a month may be too few, but again, it depends on your content and your audience. You want to be known as an expert not an irritation.

Your content should be extremely short and to the point. The longer the newsletter the more apt people are to delete it. I, along with the rest of the world, do not have time to read newsletters unless they are done really well and are about things I am interested in. Even the ones I open and read, I skim to find the info I want.

Marketing: Writing Newsletters

First and foremost, please sign up for my NEWSLETTER:)

Writing a newsletter is something many business people swear by. I receive about 20 to 30 of these “important” newsletters a week of which only 2 or 3 I actually look at or even open. Some companies send out a newsletter once a day, some once a week, and others once a month. I send mine out once a week. There are pros and cons on every aspect of newsletter writing. Some of the questions to ask yourself are:

1. What are you writing about?

2. How much content should there be?

3. How many times a year will you be sending a newsletter?

4. Who is your audience?

5. How will you get them to open the newsletter?

6. How will you get them to read the newsletter?

7. How will you get them to click through to your website or other click through action you desire?

Studio Practice: Email, Facebook, Text, IM, Voicemail

Such an odd world we live in. So many ways to communicate… things are getting a bit confusing! I was speaking with a friend of mine, Peter Garr about the issue of communication confusion: when a client sends you some important information and you cannot locate which avenue it was sent by. Was it a Facebook message or an email? Did they text me or IM me? Is the message on my land line or cell phone? It can be tricky keeping track of them all! Here is an idea that may help you track things. Along with your hard copy contract or agreement, keep another paper (or write on the back of the main contract) any important things discussed through any avenue. If you are not a paper trail person, then have a word file in the project folder of that client. Whenever something is discussed open that file right away and copy and paste the conversation into that file (or export emails directly to that file.) With Facebook, you should be getting notifications through your email with the message embedded. With any email account when you click on the message you can save it under File — Save and have it as a text file directly in your project folder. Keeping records of emails, and other conversations is important for many reasons, one of which is legal. You must, as a business owner keep track of dates and who said what. I like to have things in writing from my client’s via email, so if I have a phone conversation, the moment I get off the phone, I write an email recapping everything we talked about and then ask for a confirmation email back with their agreement. If your business is your livelihood, then you should make this a habit or you will trip up someday and that would not be good! This all goes back to my “Touch it Once” motto. The moment some form of communication that is important happens between you and a client, get it documented.

Work Flow: Start Out Organized

I teach the bookbinding workshops at Art Center College of Design in Pasadena. We are coming up on the new term and I am reminded of something I always tell my students that also applies to my own work habits in my office. “Make sure your work area is clean before you get started on a project.” As an artist, my office can turn into quite a hazard zone, with many projects going on at once. The best thing for me to do when I have so much work “on the table” that I feel a bit overwhelmed is to spend an hour cleaning up my workspace. The cleaner the better. I truly helps me concentrate on what I need to get done. Those of you feng shuiers will agree 100% that you are more productive when you are working in a clean and organized environment. Even my really whacked out artist friends agree, and I know some pretty “get down and dirty” artists. So take some time and clean up. The time spent getting things picked up and put away will most definitely make a larger impact on your work flow.
